AGGIE ALUMNI OFFICER
POSITION DESCRIPTIONS

All candidates must have their dues paid and be in good standing in the year they are nominated. Dues must be paid by January of the year they serve.

Officers must remain in good standing throughout their term.
President
-
Provides leadership to the organization.
-
Communicates with current coaches and university officials.
-
Presides over Board meetings.
-
Ensures all reports and procedures are completed by responsible parties.

Vice President
-
Serves as the Chairman of the Membership Committee.
-
Recruits new members with the Membership Committee.
-
Distributes membership information, including dues notices.
-
Prepares membership reports and maintains an up-to-date list.
-
Archives past membership data for easy retrieval.
-
Verifies memberships and distributes voting ballots.
-
Works with the Treasurer to confirm annual memberships.
-
Acts on behalf of the President when unavailable.
Secretary
-
Records accurate minutes of all Board and member meetings.
-
Distributes minutes to the Board and members.
-
Archives minutes for easy access.
-
Coordinates with the president and historian/technology chair to post approved minutes on the alumni website.
Treasurer
-
Chairs the Finance Committee.

Collaborates with the Finance Committee to secure resources and plan fundraisers.

Manages all fiscal responsibilities of the Association.
-
Deposits dues and funds in a timely manner.
-
Reports donations and prepares financial reports.
-
Reconciles bank accounts and prepares itemized financial reports.

Assists the President with budget planning.

Ensures annual IRS tax returns are completed.
-
Places and tracks orders submitted by cheer coaches, ensuring all orders are properly approved.

Pays all invoices promptly and adheres to fiscal guidelines.
Historian
-
Chairs the Historian Committee.

Adds photos of the association and alumni cheerleaders to the Cheer database.
-
Assists in archiving all association documents.
-
Maintains records and archives of the organization’s activities, preserving its history.

Assists in creating and updating documentation, such as photographs, meeting minutes, and annual reports.

Ensures that records are accessible for current and future board members.
At-Large Member
-
Appointed by the president to ensure representation across all decades.

Assists with the implementation of association business.
-
Offers diverse perspectives and helps ensure that the board's decisions address the needs of all members.
-
Assists with board tasks, initiatives, and events, often focusing on member outreach and engagement.
Elect Positions
-
Serve under the guidance of the respective officer.
-
Ensure understanding of roles and responsibilities.
-
Transition into the full position per the bylaws.
-
Must be in good standing and a paid member.

Appointed Position

Appointed by the president.

Assists with the implementation of association business.
